A practical checklist of what to confirm before your first remote IVF consultation, from the video platform and time zones to fees, records and follow-up.

A first remote IVF consultation is usually a conversation, not a procedure. The more you confirm in advance, the more of the appointment you can spend on your questions instead of logistics. Below is a practical checklist of items to verify before the call.

Confirm the consultation scope

Ask what the appointment is intended to cover and what it is not. A useful first call often reviews your history, previous test results and general options, and explains what further information the clinic would need. It may not produce a final treatment plan, because that usually depends on tests and an in-person assessment.

Questions to ask:

  • Is this an introductory consultation, a second opinion, or a treatment-planning appointment?
  • Will the doctor review my records before the call, or during it?
  • What decisions, if any, can be made on this call?
  • What information or tests would the clinic need before discussing a plan?

Confirm the platform and the link

Ask which video platform will be used and how you will receive the link. Confirm whether you need to install an app, create an account, or test your camera and microphone beforehand. If you are joining from a country where a platform is restricted, ask about alternatives.

Confirm the time in both time zones

Write down the appointment time in your local time and in the clinic’s time zone. Ask the clinic to confirm which time zone they are using, especially around daylight-saving changes. A short written confirmation by email or message is more reliable than a verbal time.

Confirm language and interpretation

If you do not speak the clinic’s main language, ask whether an interpreter is provided, in which language, and whether there is a cost. If you plan to bring your own interpreter, tell the clinic in advance. Ask whether written materials will be in English.

Confirm the fee and how it is paid

Ask whether the consultation fee is fixed, what it covers, and how payment is made. Confirm the currency, accepted payment methods, and whether a receipt or invoice can be issued. If a follow-up call is included, ask how long that remains available.

Confirm which records to send, and in what format

Ask for a list of records the clinic wants before the call, and how to send them. Common items include previous cycle summaries, blood test results, imaging reports and, where relevant, genetic test reports. Ask whether translations are required and whether the clinic accepts scanned copies or needs certified translations.

If you are unsure what to send, a coordinator can help you assemble and label records so the clinician can review them efficiently.

Confirm who will be present

Ask who will join the call: the doctor, a nurse, a coordinator, an interpreter, or a financial adviser. Knowing this helps you prepare questions for the right person. If you want a partner or family member to join, confirm that this is acceptable.

Confirm how follow-up questions will be handled

Ask how you can send questions after the call, who will reply, and expected response times. Confirm whether a written summary will be provided. If you need to share the summary with a local doctor, ask whether that is possible.
